Our cliet is seeking a well-organized and bilingual Receptionist / Administrative Assistant to join a dynamic and fast-growing company.
This role is key to ensuring smooth daily operations by managing the front desk, welcoming visitors, handling communications, and supporting general administrative functions. The ideal candidate is professional, detail-oriented, flexible, and thrives in a fast-paced environment.
Key Responsibilities:
Front Desk & Visitor Management
- Welcome guests, clients, and employees with professionalism and warmth
- Maintain a tidy and organized reception area
- Direct visitors to appropriate staff or meeting rooms
- Offer refreshments to visitors
- Answer and route incoming calls
- Manage incoming/outgoing mail, packages, and courier deliveries
- Collect and distribute daily mail
Administrative Support
- Provide general support to staff and executives
- Schedule and coordinate meetings, appointments, and conferences
- Set up meeting rooms, including materials and equipment
- Assist with travel bookings and accommodation arrangements
- Maintain and update records, databases, and filing systems
- Prepare and format documents, presentations, and reports as needed
Communication & Correspondence
- Handle incoming/outgoing emails, letters, and calls
- Draft and proofread company communications when required
- Respond to inquiries and provide information as needed
Office Inventory & Supplies
- Monitor and manage office supply stock; place orders as needed
- Coordinate with suppliers for office equipment maintenance and repairs
- Manage annual vendor contract renewals
Additional Duties
- Support basic accounting tasks, including data entry
- Collaborate with the wider admin team to ensure efficient operations
- Assist with ad-hoc tasks and special projects assigned by management
Candidate Profile:
- Bilingual: Fluent in English and French (spoken and written)
- Well-presented with a professional demeanor
- 10 years of proven experience in a similar receptionist or administrative role
- Excellent communication and interpersonal skills (calm, welcoming, positive)
- Able to manage multiple priorities and work under pressure
- Flexible with working hours
- Proficient in Microsoft Office and Outlook
- Strong organizational skills and keen attention to detail
- Discreet with confidential information
- Team-oriented, yet capable of working independently
- Cost-conscious and focused on operational efficiency
- Customer-service minded with a friendly and proactive attitude
